How to delete a church's sub-account

Step 1: Export & Upload Contacts (Subaccount Cancellation)

1. Identify & Verify Client

  • Search for the client in the Steeple tool.
  • Confirm client name matches the request (e.g., Ernest Edwards for United In Love Ministries).
  • From Steeple page, open the drive folder and the GHL links

2. Export GoHighLevel Contacts

  • In the client's GoHighLevel subaccount, navigate to Contacts.
  • Click the three dots menu and select Export.
  • Confirm the prompt and download the file.

3. Rename & Format File

  • Open your downloads folder.
  • Rename the file upon saving with the Church Name
  • Example: Export_Contacts_UnitedInLoveMinistries .

4. Upload to Google Drive

  • Verify the destination folder name matches the client.
    • search to see if a duplicate folder exists if you have permission issues
  • Click File upload, select the renamed file, and complete the upload.

Old Method (DO NOT USE)


🚨🚨 Be sure you know what you're doing when deleting sub-accounts. Additionally, if there are duplicate accounts, make sure you're deleting the correct one. 🚨🚨

Standard Operating Procedure: Deleting a Church Sub-Account

This SOP outlines the two-step process for decommissioning and deleting a church sub-account to ensure all integrated services are disconnected and no further charges are incurred.


Phase 1: Disconnecting Lead Connector and Phone Services

Before deleting the account itself, you must disconnect technical integrations to prevent accidental billing.

  1. Switch to Agency View: Ensure you are in the Agency View of the platform.
  2. Navigate to Phone Integration: * Click on Settings.
    • Select Phone Integration from the menu.

      Locate the Sub-Account: Use the search function or scroll to find the specific church sub-account by name.

      Initiate Disconnection:

    • Click the three dots (options menu) next to the account name.
    • Select Delete Connection.

      Confirm Disconnection: * Check the boxes to confirm the deletion of phone numbers, campaigns, and the closing of the Lead Connector sub-account.

    • Type the word "DELETE" (exactly as requested) and hit Confirm Delete.

Phase 2: Final Account Deletion

Once integrations are removed, you can proceed to schedule the full account for deletion.

  1. Find the Sub-Account in Agency View: Navigate back to your list of sub-accounts and locate the church in question.

    Open Account Details: Click into the specific sub-account from the Agency View list.

    Trigger Deletion:

    • Click the Actions button.
    • Select Delete from the dropdown menu.

Note: If the system warns you about potential Lead Connector (LC) charges at this stage, you did not complete Phase 1 correctly. Return to the Phone Integration settings before proceeding.

  1. Verify and Authorize:
    • Confirm the prompts presented by the system.
    • Click Delete Account.
    • Type "DELETE" in all caps (or exactly as specified on screen) to finalize.
  2. Finalize: Click Delete Account once more.

Post-Deletion Status

  • 24-Hour Window: The account will enter a "Scheduled for Deletion" status. It will be permanently removed after 24 hours.
  • Cancellations: If the church changes its mind within this 24-hour period, the deletion operation can be stopped.
  • Completion: Click Close on the confirmation window. Do not click "Stop Deletion Operation" unless you intend to keep the account.


If a church shows "Disable SaaS mode" it won't let you delete the subaccount. Follow these steps to disable so you can proceed with cancellation:


1. Check for the SAAS disable warning when attempting deletion 0:00


  • Attempt to delete the sub-account.
  • If a warning appears stating that SAAS mode must be disabled first, stop and follow this SOP.
  • Use the warning prompt as a shortcut to navigate directly to the SAAS settings page.

2. Verify the account balance before disabling SAAS 0:27


  • Check the balance shown on the Payments tab.
  • Ensure the balance is $0.
  • If there is any money remaining, loop in your supervisor about processing this refund.

3. Disable SAAS mode and confirm the action 0:52


  • Return to the Disable SAAS option from step 1.
  • Select the required checkbox(es).
  • After typing CONFIRM, keep the confirmation box checked to discontinue any SaaS subscriptions.
  • Click Disable SAAS.
  • Wait for the system message indicating the change may take up to 10 minutes or less.

4. Return to delete the sub-account 1:14

  • Once SAAS has been disabled, return to the sub-account deletion flow.
  • Retry the delete action.
  • Confirm the sub-account can now be deleted successfully.
