Admin: Academy User Creation & Setup

Overview & Purpose

This document outlines the standard process for adding new users to the Church Fuel Academy via WordPress. Operations, Account Managers, and Support Reps must follow these steps to ensure accounts are created accurately and linked correctly.

Prerequisites & Requirements

• System Access: WordPress Dashboard with Administrator or Editor permissions.
• Required User Info: Primary email address, First Name, Last Name, and Church/Organization Name (if applicable).

Step-by-Step Procedure

1. Check for Existing Accounts
   • Go to WordPress Dashboard > Users.
   • Search for the email address in the top right search bar.
   • Critical Rule: Always search by email address, never by name. Searching by name is unreliable and causes duplicate or incorrect account creations.
   • If the account already exists, do not create a new one. Skip to account maintenance or access provisioning.
2. Create the New User

   • Navigate to WordPress Dashboard > Users > Add New.

     Complete the required fields:

     • Username: Enter the user's full email address.
     • Email: Re-enter the user's primary email address.
     • First Name & Last Name: Enter details exactly as provided.
     • Leave all default settings intact unless specific custom parameters apply.
3. Toggle Account Notification

   • Check the box "Send the new user an email about their account" so WordPress sends the initial system notification (unless following the active temporary workaround SOP).

     Church Account Association (Conditional)

   • Default: No extra steps required. Basic Academy access functions automatically upon account creation.

   • Conditional: If explicit team or organizational tracking is required for this user, link the account to the primary Church Organization ID in your CRM/Admin settings before closing the record.

     Save Account

   • Click Add New User at the bottom of the screen to complete the setup.
