Admin: Sending Academy Magic Login Links

Overview & Purpose

This document covers the standard method for delivering instant Academy access to users using the automated Magic Login Link generator. This process allows church leaders to log in securely without entering a password.


Step-by-Step Procedure

  1. Locate the User Account
    • Open WordPress Dashboard > Users.
    • Search for the user using their Email Address.
      • Warning: Do not search by name—email is the only reliable unique identifier.
    • Open the user’s account profile from the search results.
  2. Generate the Magic Link
    • Inside the user's profile, click Create Magic Login Link.
    • Copy the full generated URL directly to your clipboard.
  3. Send to Customer
    • Open the active support ticket or email thread with the user.
    • Apply the saved reply template "Magic Login Link" or the customer communication below.
    • Paste the copied magic link into the designated placeholder.
    • Review for accuracy and click Send.

Edge Cases & Troubleshooting

  • Link Doesn't Generate / Error Pop-up: Ensure the account exists and has active status. If generation fails completely, transition to the Temporary Login Workaround.
  • User Reports Link Expired: Magic links are time-sensitive and can only be used once. Generate a fresh link and send it immediately. Remind the user to click the link right away. Do NOT test the link, that could be breaking it.
