Admin: Temporary Workaround— Manual Password Assignment & Access

Overview & Purpose

This document details the temporary fallback procedure for providing Academy access when magic links or standard password reset tools are broken or undergoing maintenance.


Step-by-Step Procedure

  1. Verify Outage / Issue Status
    • Confirm that standard login delivery tools (Magic Link / Password Reset) are currently down or failing for the user.
  2. Assign Temporary Password in WordPress
    • Go to WordPress Dashboard > Users.
    • Search by Email Address and click Edit on the user’s account (or enter these details while creating a new user).
    • Navigate to the Account Management section and click Set New Password.
    • Clear any autogenerated string and type in the approved team temporary password.
    • Check the box "Confirm use of weak password" if prompted by WordPress.
    • Uncheck "Send User Notification" (we will send details manually via support ticket).
    • Click Update User (or Add New User).
  3. Send Fallback Communication
    • Open the support ticket or customer communication thread.
    • Send the saved reply "Login Issue" (or Welcome Email if a new user).
    • Send the email response to the user.
  4. Post-Fix Cleanup
    • Once operations confirms the magic link system is restored, immediately cease using this workaround.
    • Return to using the standard magic link delivery process.

Edge Cases & Troubleshooting

  • User Still Can't Log In with Temp Password: Verify you typed the exact password string without typos or extra spaces. Try resetting it in WordPress a second time, or test logging in via an Incognito window yourself.
  • Weak Password Warning Box Hidden: If WordPress blocks saving due to password strength, re-type the approved password string to re-trigger the "Confirm use of weak password" checkbox, check it, and save immediately.
